Billing Information

Students

Students will receive a monthly email notification by the 10th of the month to their official university email account stating that their bill is available. Payment is due by the 28th of each month.

Payment Options

Online Payment

Students and authorized individuals can make online payments with an electronic check (e-check) withdrawal from a checking or savings account or by credit card. To make a payment, log on to the UI-Integrate Self-Service site and complete the steps below:

University of Illinois has partnered with Flywire™ to offer an innovative and streamlined way to make international payments. Flywire’s mission is to offer convenient and secure international payments that save money by eliminating high bank fees and unfavorable foreign exchange rates. With Flywire™, you are offered excellent foreign exchange rates allowing you to pay in your home currency (in most cases) and save a significant amount of money when compared to traditional banks. You will be notified via email when your payment is received by University of Illinois.

Post Doc / Visiting Scholar/ Staff

Non-students should receive a bill in their apartment mailbox by the 10th of each month. Payment is due by the 28th of each month.

Once you receive your University ID Card, you must visit the Bursar's office to confirm your University Account and provide them your University Apartment address. Providing them your University ID number and address ensures that you will receive your monthly bills. You may also email the University Bursar and provide them with your name, UIN and apartment address at: bursarhelp@uillinois.edu.

If you have not received a bill in your mailbox by the 10th of the month, contact the Bursar to determine the status of your account. Remember that you are responsible for monthly rent payments regardless of whether you receive a paper bill.

Online Payment (e-check)

The GAR Online Payment Center enables University of Illinois customers who are not students to pay their monthly bill by e-check. For instructions on how to use the GAR Online Payment Center, please visit http://www.obfs.uillinois.edu/forms/billing-receivables/ and click on "Instructions to Use the GAR Online Payment Center."

Emergency Assistance for Residents

Residents are encouraged to call the Family & Graduate Housing Office for emergency assistance during regular business hours at 217-333-5656. The on-call emergency staff provides assistance when the Family & Graduate Housing Office is closed. Call the on-call staff member at 217-649-7705 if you have an emergency, lose your keys or need other assistance. 

Emergency Maintenance Requests During Non-Business Hours

An emergency is defined as a life safety incident or an incident that will result in property damage, such as a fire or flood.

Sunday through Saturday (4:30 p.m. to midnight) a Maintenance Inspector is on duty to assist you with any facility emergencies that may arise. Call 217-333-2779 and after you hear the voice prompt, enter your telephone number and your call will be returned as soon as possible.

Sunday through Saturday (midnight to 7:59 a.m.) there is not a Maintenance Inspector on site to respond to calls. Call 217-333-2779 and after you hear the voice prompt, enter your telephone number and your call will be returned as soon as possible. The person responding to your call is off site and will contact other staff members to respond to an emergency call. It may take a minimum of an hour to respond to calls.

Non-Emergency Maintenance Requests

For any non-emergency maintenance needs, please submit a request for services online. You may also access this page from anywhere on the housing.illinois.edu site by clicking the “Maintenance Request” link located at the bottom of any housing webpage. If you do not have access to a computer, you may come to the Family & Graduate Housing Office to use the lobby computer.

Lockout

If you are locked out of your apartment during normal business hours (8:30 a.m. to 5 p.m.), you can obtain a loaner key at the Family & Graduate Housing Office. There is no charge for this service. You will be asked to provide photo identification. If a child requests a loaner key, staff may ask the child for some information that would be found in their family’s file. Loaner keys must be returned to the Family & Graduate Housing Office immediately after the apartment is opened, or a lock change will occur the next business morning at a cost to the resident.

If you are locked out of your apartment when the Family & Graduate Housing Office is closed, contact the on-call staff member at 217-649-7705 for assistance.

Lost Key

If you lose a key, Family & Graduate Housing can loan you a key while you try to find yours. During business hours, come to the Family & Graduate Housing Office to get a temporary key that you will be able to keep for until 3 p.m. the next day. If the key is still missing at that time, it will be necessary to change the lock. You will be issued a new key at a cost. If you lose your key after hours, please contact the on-call staff member at 217-649-7705 for assistance.

Seeking Roommates - University Housing Apartments

Welcome to the University of Illinois Family & Graduate Housing Roommate Bulletin Board

This communication tool is provided as a service to new and current University Housing Apartment residents seeking a roommate (co-tenant) within the Family & Graduate Housing apartment communities. Roommates must be affiliated with the University of Illinois, each have their own University Apartment lease and live in a two-bedroom apartment at the Orchard Downs or Ashton Woods apartment complex. We cannot publish posts for non-University owned properties. Posts are reviewed within 5 to 7 days of submission and if approved, then published at this site. Posts are deleted from this site after 60 days.

Roommates are allowed to have one dependent live with them if they are sharing a two-bedroom apartment with a roommate.  We do require that anyone who will be living with a dependent provide this information in their post.

When creating a new posting, please use the following examples as a guide:

"Female graduate student with 3 year old child seeking roommate in Orchard Downs beginning August 2017. Willing to share with male or female roommate. Please email Qian."

"Single male undergraduate transfer student (Junior) with no dependents seeking single male roommate with no dependents in Ashton Woods for 2016-2017 academic year. Please email Paulo."

"Single female Visiting Scholar seeking female roommate with no dependents in Orchard Downs or Orchard South from July 2016 to July 2017. Prefer furnished apartment. Please email Mary."

Do not include your full name, address or any personal information. This board is able to be viewed by anyone in the world. Posts are approved by Housing staff before they will appear on the board. Posts that do not meet the guidelines will be edited or deleted with no notice. Family & Graduate Housing assumes no liability for any posts or replies.

Lease Change Requests

Apartment Transfer

If you would like to move to a different apartment within University Housing, please review the transfer policy. You may request a transfer by completing a transfer request form. Once the completed form is received, Family & Graduate Housing staff will review available apartments and determine if your request can be granted. Transfers are not offered through the months of July and August.

Lease Cancellation

If your plans change and you will not be attending the University of Illinois, you must notify the Family & Graduate Housing Office in writing. See your lease terms and conditions on the Forms/Documents page for further details.

Lease Termination

If you will be graduating or ending your affiliation with the university, you are required to terminate your lease by submitting the Early Termination of Lease Request form and giving Family & Graduate Housing a 45-day notice. The Early Termination of Lease Request form is available at the Family & Graduate Housing Office or online. Please note that other forms of communication will not serve as notice of your intent to terminate and refer to the Family & Graduate Housing lease terms and conditions for specific details.

Lease Extension Requests

If you would like to request an extension of your lease through the last day of exams for Summer School II because you are enrolled in Summer School, Term II classes, fill out the Lease Extension Request Form available at the Family & Graduate Housing Office or online. 

Changing from an Apartment to a Residence Hall

Current University Apartment residents can use our online transfer request form to request to move to a University Housing residence hall.

Ashton Woods Pets Policy

Request Permission

Residents of Ashton Woods may request permission to have up to two companion pets and fish tanks of 50 gallons or less. Residents are required to sign a pet agreement prior to obtaining a pet and comply with all terms of the pet policy. Fees and conditions are fully described in the pet policy, and guidelines are listed in the Apartment Policies section of the Apartment Resident Handbook under Pets. Email a completed Pet Policy and Agreement and attach a picture of the pet to apartments@illinois.edu.

Moving Out

Lease Termination 

If you will be graduating or ending your affiliation and leaving the University, you are required to terminate your lease by giving Family & Graduate Housing a 45-day notice and by completing the necessary Early Termination of Lease Request Form available at the Family & Graduate Housing Office or online. Your $250 deposit will be refunded to your University Account at the time of approval of the termination. Please note that other forms of communication will not serve as notice of your intent to terminate. Also refer to your Family & Graduate Housing Lease Terms and Conditions for specific details.  

Subletting

Your Family & Graduate Housing lease prohibits the subletting of your apartment. Residents who sublet their apartment will be in violation of their lease and subject to fines and immediate termination of their lease. For more information, contact the Family & Graduate Housing Office for a policy statement.

Vacating Procedures

Family & Graduate Housing has designed a Vacating Brochure for you to use when preparing to leave your apartment. You can download the Vacating Brochure (pdf) or pick up a copy at the Family & Graduate Housing Office. Your apartment will be inspected within the first two working days after keys have been returned to Family & Graduate Housing. Any charges for cleaning, damages and/or repairs will be assessed and will be charged to your university account. All items left in the apartment at the time of inspection will be removed and disposed of by the university. A charge for removal of these items will be assessed to your university account. If you have been using a locker in the basement of Goodwin-Green, remember to remove all of your personal items and your personal lock. Any items remaining in a Goodwin-Green locker after a resident vacates their apartment will be considered abandoned property and will be removed and disposed of by the university. A charge for removal of these items and cleaning of the locker will be assessed to your university account. Personal Information

File a forwarding address card with the U.S. Postal Service at your local US Post Office or online at USPS.com. We also recommend you send your forwarding address to the Family & Graduate Housing Office: apartments@illinois.edu.

Discontinue Services

Discontinue any services to your apartment you have personally arranged - newspapers, diaper service, telephone service. Contact Ameren Illinois to give them your vacate date so they may arrange for your final billing and deposit return.

Cleaning the Apartment

Things To Remember

The apartment should be thoroughly cleaned before you leave. If your apartment does not meet the standards of University Housing, a charge for necessary cleaning and damage must be assessed. When you leave your apartment, it should be as clean as the day you moved in. ALL personal items must be removed from your apartment prior to your departure.

Refrigerator

  • Defrost and clean with detergent and water. DO NOT USE SHARP OBJECTS to remove ice, as you may puncture the evaporator lines and will be charged for damages or replacement of the refrigerator.
  • Wash and dry the inside and outside of the refrigerator making sure to remove any marks, stickers or tape.
  • Clean the racks, shelves, and vegetable bins inside and out. Clean under the bins.
  • Remove all items from the refrigerator and freezer and dispose in a dumpster.
  • Set controls at the #3 setting after cleaning is completed. Please leave the refrigerator plugged in.

Sink

  • Wash the kitchen sink, including fixtures. Use a fine, non-abrasive cleaner for stains and lime residue.
  • Clean metal fixtures, including those under the sink.

Cabinets, Drawers, Shelves

  • Remove all shelf paper. Wash drawers, shelves and countertops inside and out.
  • Remove all personal items from closets and wash hanging rods and shelves.

Windows

  • Brush off all screens and leave screens in place in the window.
  • Thoroughly clean windows on the inside. Remove all stickers, tape and tape marks from windows and window frames.
  • Clean window blinds.

Bathroom

  • Clean the toilet with disinfectant both inside and out, including the toilet seat and bowl. Clean outside of tank and lid.
  • Clean the sink, shower and tub. Clean the walls of the shower and tub. Fiberglass area must be cleaned with a non abrasive liquid cleaner. In porcelain area, a mild detergent may be used. Rinse with water and dry with cloth to remove water spots and film.
  • Remove mildew, rust and lime from fixtures and walls, including fixtures under the sink and toilet.
  • Wash the medicine cabinet inside and out, including the top of the cabinet and the mirror.

Walls, Ceilings, Doors

  • Remove hooks, nails, stickers and tape. Handprints and marks from ceiling and walls should be removed with mild soap and water.

Water Heater Area

  • Clean in and around water heater closet.

Stove

  • We suggest you begin to clean your stove 1-2 weeks before you start to move. These are time-consuming jobs and are easy to forget.
  • If you have an electric stove, be sure the circuit breaker, located in the electrical panel box, is turned off prior to cleaning.
  • Do not extinguish the pilot light on a gas stove.
  • Remove all removable parts and clean them in the sink. Do not remove stove burners or oven elements.
  • If you have an electric stove, pull the stove out from the wall. Clean the sides, front, and back of the stove and the floor and wall behind it. DO NOT pull gas stoves or the gas connectors away from the wall.
  • Use oven cleaner to clean the inside of the oven. DO NOT use oven cleaner on the outside of stove. During cleaning, place plastic on the floor in front and under the oven. You may find it helpful to purchase a “fume free” cleaner.
  • Remove grease from the racks, broiler pan and tray. Replace these in the oven after cleaning.
  • Thoroughly clean burners, drip pans and the area under the drip pans. Please do not submerge electric range burners in water.

Furnace Area

  • Wipe off the outside and the vents of the heating units with a damp cloth.
  • When leaving, turn thermostat to 65 degrees heat in the winter. During warm weather, air conditioner unit thermostat should be turned to low or 80 degrees.

Floors

  • All the floors should be swept and wet mopped to remove any dirt and debris. Don’t allow water to stand on floor for long periods of time. Please do not wax the floors.
  • Check each corner, behind the stove and refrigerator and in closets for overlooked dirt next to the walls.

Check-out Procedure

Things To Remember

After you move out of your apartment, it will be inspected by our staff for damages and cleanliness. In order to avoid additional charges, complete all of the following items before you move out:

  • Replace all burned out light bulbs.
  • Remember to leave digital TV adapter (if Comcast has installed one), modem, power supply, 3 coaxial cables, ethernet cable and splitter in the apartment (you will be charged if they are missing).
  • Remove personal items (toys, bikes, grills) from outdoor storage areas. At Goodwin-Green, storage lockers should be emptied and cleaned.
  • Place all garbage and personal items you wish to dispose of (couches, beds, chairs, etc.) directly into the dumpsters. Do not leave items outside or next to dumpsters.

Key Return

When you vacate your apartment, all apartment keys (including mailbox and laundry keys) must be turned in to the Family & Graduate Housing Office. All keys are due by noon on the date your lease ends. Failure to return all apartment keys by noon on your lease end date will result in nightly rent charges at double the normal rental rate. If all keys are not turned in to the Family & Graduate Housing Office by noon on the date your lease ends, you will be assessed charges for missing keys and for the installation of a new lock. Residents will also be assessed charges for mailbox keys and laundry keys that are not returned. Please refer to the Family & Graduate Housing Vacating Brochure for current charges.

If you leave your apartment during hours the office is closed, please place your keys in an envelope, write your name and address on the envelope, and place it in the drop box near the front door of the Family & Graduate Housing Office.

Lending Room Return and Donations

If you borrowed items from the Orchard Downs Lending Room, you must return the items prior to your departure from University Housing. Items should be returned clean and in the same condition as when you borrowed them.
As you depart for your next destination, we hope that you will consider donating any useful household and kitchen items in good usable condition that will be helpful to the next group of University Apartment residents who arrive in August.

We do not accept any large furniture, large electronics, cloth items, food or items that are broken, dirty or no longer usable. We do accept useful items including pots, pans, plates, bowls, silverware, knives, glasses, mugs, can openers, lamps, electric kettles, rice cookers, fans, microwaves and vacuum cleaners. As well as minor items including clothes hangers, trash/dust pans, brooms and laundry baskets. Basically, if you found it useful during your stay, the incoming residents will probably also find it useful!

Borrowed or donated items can be brought to the Lending Room during normal operational hours on Saturdays from 9 to 11 a.m. If you are unable to bring your items during these times, you can leave them at the outside entrance of the Lending Room (2044 Orchard, on the street side) or drop them off at the Family & Graduate Housing Office Monday through Friday from 8:30 a.m. to 5 p.m.

Abandoned Property

All items left on the premises (including bicycles and automobiles) at the time of vacating will be removed and disposed of according to University policies.

Additional Services & Amenities

Computer Labs

Computer labs are operated by University Housing and are open 24 hours a day. Our fast computers, software library and high-resolution laser printers can be important resources for our residents. Orchard Downs residents may access the computer lab located at 2030A with their laundry key. Goodwin-Green residents will find their computer lab in the lobby of 300 Goodwin.

Residents with a university login are eligible to use the computer labs. Residents are responsible for the supervision of their children in computer labs.

Internet Access and Cable TV

Goodwin-Green apartments are on the same network as the residence halls. Our technology section explains internet access at Goodwin-Green.

Due to the unique locations of Orchard Downs and Ashton Woods, Housing subsidizes broadband internet and cable TV from Comcast for residents in these locations. If you are experiencing a problem with your cable or internet service, please submit a request to Comcast. The following items are provided in each apartment:

  • cable modem
  • cable modem power supply
  • 3 coaxial cables
  • coaxial splitter
Connection setup
  1. Connect one of the coaxial cables to the coaxial wall jack
  2. Connect the other end of that coaxial cable to the end of the coaxial splitter with only one receptor
  3. Connect one coaxial cable to each remaining receptor of the coaxial splitter
  4. Connect one of the coaxial cables from the coaxial splitter to your TV
  5. Connect the other coaxial cable from the coaxial splitter to the cable modem
  6. Connect the small plug of the cable modem power supply to the cable modem
  7. Connect the large plug of the cable modem power supply to a wall socket
  8. Using your own Ethernet cable, connect the cable modem to your computer, router, or switch

Outdoor Grills

We recognize that many families enjoy grilling outdoors. Your lease prohibits open fires from a hibachi, grill or other appliance in any balcony, stairwell or entryway of any building. Family & Graduate Housing provides grills for your use. At Ashton Woods, some of the courtyards are equipped with a picnic area and grill for your outdoor enjoyment. Grills at Orchard Downs are located by the Community Center, by the playground at Hazelwood Court, near the Family & Graduate Housing Office and behind apartment 2006 near the playground.

If you do use your own grill on the lawns, keep a reasonable distance from the buildings so that the smoke does not disturb your neighbors. Family & Graduate Housing also provides trash containers for coal and ash disposals that are marked specifically “charcoal.” Coals should never be deposited in the garbage dumpsters. Please use care when barbecuing. Never place a grill next to a building or leave it unattended.

Reserve a Community Space

Residents may reserve a space in University Apartments for personal or educational events. Learn more about community spaces, and reserve a room through the University Housing Space Reservation System.

Car Wash

At Orchard Downs, University Housing has installed two waterspouts on the back of the South Laundry. Residents can park at the back of the building and access water to wash their cars.

Ice Machines

Ice machines are located at the South Laundry in Orchard Downs and in the laundry room of the 300 building of Goodwin-Green, which are free for all residents to use.

Picnic Area/Recreation

At Orchard Downs, there are numerous picnic areas throughout the community. Please help maintain these areas by disposing of trash in appropriate trash receptacles. Playground facilities are scattered throughout Orchard Downs. Residents are encouraged to use these for fun and safe spaces to play. Young children must always be accompanied and supervised by an adult. Orchard Downs also features two basketball courts for those who love to play.

Vending Machines

Vending machines are located in the Orchard South laundry. Residents are welcome to use these machines while doing their laundry.

Goodwin-Green Locker Storage

Goodwin-Green residents may request a storage locker located in the basement level of Goodwin-Green. Complete a storage locker request.

Orchard Downs

Emergency Jump Starter Program

The Emergency Jump Starter program is a service to residents that has been funded by the Family Housing Council (FHC). The FHC has purchased a portable emergency jump starter that residents may use to jump-start their cars. To check out the jump-starter, residents can come to the Family & Graduate Housing Office and fill out the sign-out sheet, (which includes your name, address, phone number, and date you are borrowing the unit). After you get your car running again, return the jump starter to the office and complete the form with “date returned.” If you have questions about this program, call the Family & Graduate Housing Office at 217-333-5656.

Bicycle Pumps

The Family & Graduate Housing Office has a bicycle pump that residents can borrow. The pump can be checked out for one hour. Stop by the FGH Office to check it out and make sure you return it within the hour.

Moving Carts

The Family & Graduate Housing Office has moving carts available for Orchard Downs residents to check out. Due to the limited number of moving carts, the Family & Graduate Housing staff request that carts be returned within 24 hours. Carts are available in the Family & Graduate Housing Office. Stop by during regular office hours, Monday through Friday, 8:30 a.m. to 5 p.m.

Goodwin-Green

Borrow Items from the Daniels Hall Desk

Goodwin-Green residents can borrow the following items from the Daniels Hall Desk with your i-card: vacuum cleaners, movies, board games, office supplies and ping pong equipment.

Moving Carts

At Goodwin-Green, carts are available in the lower levels of each building. In 1107 Green, the carts are in storage locker number 9, and in 300 Goodwin, carts are in locker number 99. Residents use their apartment key to access the storage area and the padlock on the designated locker. Residents are expected to return the cart immediately following use. Overnight use of carts is not allowed. Residents must lock the cage before they leave the storage area.
